Accounts Payable Specialist Assessment: A Real-Work Exercise for Hiring
An invoice arrives that does not match the purchase order, and the supplier is asking when they will be paid. This is a fictional illustration of the exercise Calavion would build with you.
Try CalavionWhat is an accounts payable specialist assessment?
An accounts payable specialist assessment is a way to check whether an applicant can do accounts payable work before you hire them. Common formats are accounting knowledge tests, spreadsheet tests, situational questions, invoice-matching exercises, writing samples and interviews.
Calavion takes a practical approach. Working with a company, Calavion would turn an invoice situation your team has already handled, such as an invoice that does not match its purchase order, into a controlled exercise. The applicant would read the invoice, the purchase order and the payment policy, then decide whether to pay, query or hold, and whom to tell. You would then review a Replay: a record of what was available, what they did and wrote, what changed and what stayed open.
You will also see the same idea called an accounts payable skills test, an accounts payable pre-employment assessment, an AP clerk assessment, an accounts payable job simulation, a work sample assessment for accounts payable or an accounts payable case study. These terms are often used interchangeably, but they measure different things: some check knowledge, some check what applicants say they would do, and some let applicants do practical work.
What sets Calavion’s approach apart is the case. It would be your own handled invoice situation, you would approve the exact version, and you would read a Replay of what the applicant did and wrote.
Can you use Calavion for accounts payable specialist assessments today? At a glance
- Best suited to
- Accounts payable work done in writing: matching invoices to orders, querying differences, replying to suppliers and handing over open items.
- What applicants would do
- Read an invoice, an order and a payment policy, decide whether to approve, query or hold, and write the messages to the supplier and the buyer.
- What employers would review
- A Replay of what was available, what the applicant did and wrote, what changed and what stayed open.
- What it does not do
- Connect to real accounting systems, test accounting standards or software skills, post real payments, score or rank applicants, or claim to predict job performance.
- Status
- Not built yet. No accounts payable exercise has been built or run. Calavion builds each case with the company.
What would a real-work accounts payable specialist assessment look like? Example: an invoice that does not match its purchase order
It is the 28th, three days before month-end. An invoice for 40 units arrives, the purchase order says 30, and the supplier has written twice asking when they will be paid. The payment policy says a mismatch must be queried before approval. The applicant decides what to check, what to approve and what to say.

The applicant would
- Read the invoice, the purchase order and the payment policy
- Work out where the difference sits and who can confirm it
- Query the buyer in a message that includes the numbers
- Tell the supplier honestly what is being checked, without promising a payment date
- Leave a note saying what is held, what is waiting and who owns it
Each choice leaves the ledger in a different state: an overpayment approved, a supplier left without an answer, a query sent with no figures. The employer would read the decisions, messages and action sequence in Replay.
This is an illustrative example. The company, the supplier, the amounts and every record are invented.
Why should companies assess accounts payable specialists before hiring?
Accounts payable work is judged one invoice at a time: what a specialist matches, queries and approves. A resume lists systems and past duties, and an interview describes past behaviour. Neither directly shows how an applicant handles an invoice that does not match, a supplier chasing payment and a policy that limits what may be paid. An assessment gives the company something observable to review before making an offer.
How would Calavion assess accounts payable skills?
Calavion is a real-work hiring platform. For accounts payable, Calavion would prepare a controlled exercise from an invoice situation your team has handled. Applicants would read records and write messages inside it, and you would read a Replay of what they did. You make the hiring decision.
- Bring one case. Choose an invoice situation your team has already handled.
- Calavion prepares it with you, by hand. Calavion reviews the material and replaces identifying details.
- You approve the exact version before any applicant sees it.
- Applicants work the case. They use an invite link, with no account, and work through records and written threads.
- You read Replay and decide. Replay shows what was available, what the applicant did and wrote, what changed and what stayed open.
What types of accounts payable specialist assessment are there?
Employers combine several methods. This table shows what each one checks and where it stops.
| Type | What it checks | Strength | Limit |
|---|---|---|---|
| Knowledge test | Accounting terms, payment processes and common software | Quick to give and compare | Shows knowledge, not behaviour |
| Situational judgment test | Chosen answers to accounts payable scenarios | Standard scenarios are easy to compare | Shows what applicants say they would do |
| Spreadsheet or software test | Using a spreadsheet or accounting tool | Quick and objective | Shows tool skill, not judgment |
| Invoice-matching exercise | Matching invoices to orders and receipts | Shows accuracy and attention to detail | Often generic, not your policy or your suppliers |
| Writing sample | Drafting a reply to a supplier about a query | Shows clarity and tone | Does not show how the applicant found the difference |
| Role-play | A rater plays a supplier chasing payment | Shows composure and firmness | Hard to repeat the same way for every applicant |
| Work sample | A task taken from the job | Job relevance depends on how well the task represents the role | Takes time to design |
| Structured interview | The same questions for every applicant | Consistent and easy to run | Asks about past or hypothetical situations; does not show work being done |
| Calavion real-work exercise | Your own handled invoice situation in a controlled environment | Observable actions, messages and consequences | Not built yet for accounts payable; written cases only; no automatic scores |
For the full method comparison, read work samples, job simulations, take-homes and real-work hiring.
Which accounts payable specialist assessment should you use?
These are common pairings, not rules. Most teams use more than one method, and the right choice depends on the role.
| Hiring need | Commonly suitable method | What it can show | What it cannot establish |
|---|---|---|---|
| Matching and querying invoices | A job simulation built on a real invoice mismatch | Checking, querying and wording | Performance beyond the invoices you chose |
| Supplier communication | A writing sample with the same facts for every applicant | Clarity and honesty about timing | How the applicant found the difference |
| Spreadsheet and system skills | A task in a demo file | Tool skill and accuracy | Judgment about policy |
| Accounting knowledge | A short knowledge test | Terms and basic processes | What the applicant does with a real invoice |
| High-volume hiring | A short knowledge test as a first filter, then a practical exercise for a shortlist | Basic knowledge at scale | What the applicant does with a real invoice situation |
| Any accounts payable role | A structured interview with the same questions for every applicant | Experience and how applicants explain their decisions | Work being done now |
How is a real-work accounts payable specialist assessment different from a accounts payable specialist skills test?
A accounts payable specialist skills test, the kind sold in many assessment libraries, usually asks multiple-choice or scenario questions and scores them against an answer key. It is quick to give and easy to compare, and it shows what an applicant knows or says they would choose. A real-work accounts payable specialist assessment, also called a accounts payable specialist job simulation or work sample assessment, shows what the applicant does with a case from the job. Many teams use both: a short test early, and a practical exercise for the shortlist. Calavion offers only the second. See what a job simulation is and work sample or skills assessment test.
Which skills should an accounts payable specialist assessment cover?
A useful assessment looks at the skills the job actually uses. Each skill below shows what it looks like in real work and what an employer would see in a Replay. Replay does not rate any trait. It shows the wording and the sequence of actions, and the employer interprets them.
| Skill | What it looks like in real work | What the employer would see in Replay |
|---|---|---|
| Matching records | Comparing the invoice, order and receipt | The records opened, and the figures the applicant quoted |
| Applying the policy | Following the payment rule when the numbers differ | Whether the applicant approved, held or queried, and what they cited |
| Accuracy with numbers | Getting amounts, units and dates right | The figures in the messages compared with the records |
| Clear queries | Writing a query the buyer can answer quickly | The message the applicant wrote, word for word |
| Supplier communication | Telling a supplier where things stand without over-promising | Whether a payment date was promised that the records did not support |
| Prioritising near month-end | Judging what has to be dealt with before cut-off | What the applicant did first, and what they left |
| Escalation judgment | Knowing when an exception goes to a manager | Whether and when the applicant escalated, and what they said |
| Handover and notes | Leaving a clear note on what is held and why | Outstanding items and the final state of the invoice |
Which accounts payable tasks can an assessment cover?
Accounts payable work happens in accounting software, spreadsheets, email and sometimes by phone. Written tasks with records can be assessed from the text alone. Software skill and live supplier calls need other methods.
| Task | How it is usually assessed | Calavion today |
|---|---|---|
| Entering and coding invoices in software | A task in a demo or sandbox system | Not covered. Calavion does not run live accounting software |
| Supplier calls | Live role-play with a rater | Not covered. Calavion does not record voice or video |
| Matching invoices to orders and receipts | Work sample or simulation | Same written shape, but not built yet. Built with the company |
| Querying differences with buyers and suppliers | Writing sample or simulation | Same written shape, but not built yet. Built with the company |
| Month-end notes and handovers | Work sample | Same written shape, but not built yet. Built with the company |
How do you assess accounting software and supplier calls?
Calavion does not cover these, so you would use another method. These are common ways to assess them alongside a written exercise.
| Skill area | What a good test contains | Common method |
|---|---|---|
| Software skill | The same invoices and coding rules for every applicant | A task in a demo or sandbox system |
| Spreadsheet skill | The same file and task for every applicant | A spreadsheet task |
| Supplier call | A scripted supplier with a payment question and facts to find by asking | Role-play with a rater and a short rating guide |
| Written queries | A short message to a buyer about a difference | A writing sample |
What a rater listens for in a supplier role-play
| What to listen for | Evidence that supports it | Evidence that raises a question |
|---|---|---|
| Questions | Asks which invoice and which order the supplier means | Answers before finding out what is being asked |
| Honesty | Says what is being checked and does not promise a date | Promises payment to end the call |
| Accuracy | Repeats back invoice numbers and amounts | Leaves details unconfirmed |
| Composure | Stays calm when the supplier is frustrated | Becomes defensive or curt |
| Closing | Confirms the next step and when the supplier will hear back | Ends without a next step |
Which accounts payable roles can you assess this way?
Every role below needs its own case, which Calavion prepares with the company.
| Role | What the work involves | What to assess | Fit with Calavion |
|---|---|---|---|
| Accounts payable specialist | Matching, coding and paying supplier invoices | Accuracy, policy and supplier messages | Built with you |
| Accounts payable clerk | Processing invoices and answering supplier queries | Accuracy and clear queries | Built with you |
| Payables coordinator | Coordinating approvals and supplier payments | Prioritising and follow-through | Built with you |
| Expense and invoice auditor | Checking invoices and claims against policy | Applying policy and noting exceptions | Built with you |
| Vendor account specialist | Handling supplier accounts and statements | Reconciling and clear messages | Built with you |
| Accounts payable team lead | Coordinating clerks and exceptions | Prioritising and escalations | Built with you |
| Bookkeeper, mostly software and filings | Maintaining books and filings | Accuracy in software, which needs its own task | Not covered: bookkeeping needs software-based methods |
| Accountant or controller | Judgment on accounting treatment and reporting | Professional accounting judgment | Not covered: accounting judgment needs its own method |
If you hire for one of these roles, bring one case your team has handled and we will tell you whether it fits. See where Calavion applies and the design partner programme.
When should you use a real-work accounts payable specialist assessment?
A work-based method lets you review the actions and messages an applicant produces inside a controlled exercise, and it asks more of you than an automated test. Here is what to expect before you start.
Best fit
- Finance teams that match and query invoices through email, chat and written approvals
- Roles where accuracy with numbers and honest supplier messages matter together
- Hires where an overpayment or a lost invoice is costly, so reviewing real work may be worth the time
What it asks of you
- Setup is a hands-on service: Calavion prepares each exercise with you, by hand. It is not self-serve software
- You review the Replay yourself, because Calavion does not score or rank applicants
- It is not an automated screening tool for very large applicant pools, and it does not test accounting standards, software skills or supplier calls
How do you run an accounts payable specialist assessment?
Step by step
Start from the real job
List the three or four situations that most often go wrong in the role.
Choose one real case
Pick an invoice situation your team has handled, with an invoice, an order and a payment policy to read, a rule that limits what can be approved, and a consequence that follows.
Decide in advance what you will look for
For example matching the records, applying the policy, wording to suppliers and colleagues, and follow-through.
Give every applicant the same case
Use the same instructions for every applicant.
Keep it job-related
Tell applicants what is recorded and who sees it.
Review the work itself
Look at the work, not only the final answer.
Use what you saw to shape the interview
Ask about what the applicant actually did.
Keep your own notes
Apply your local hiring rules, taking legal advice where needed.
What should you look for in an applicant’s work?
These are observations to discuss, not scores. Calavion does not currently score or rate applicants, and the employer decides.
Signs to ask about
- Approves the invoice at 40 units because it looks fine
- Queries the buyer with no figures
- Promises the supplier a payment date nobody approved
- Misses the month-end cut-off
- Leaves no note about what is held
Signs of careful work
- Opens the invoice, the order and the policy before acting
- Names the exact difference and the units involved
- Asks the buyer a question they can answer in one reply
- Tells the supplier what is being checked, not when it will be paid
- Notes the month-end cut-off in the plan
- Hands over held items clearly
Accounts Payable Specialist interview questions and a note-taking guide
Use this guide to take your own notes against criteria you set in advance. It is a note-taking guide, not a score, and Calavion does not rate applicants. The table works from an exercise. The questions below it work without one.
| What to look at | Evidence that supports it | Evidence that raises a question | A question to ask |
|---|---|---|---|
| Matching records | Quotes the figures from the invoice and the order | Approves without comparing | What did you compare, and what did you find? |
| Policy | Cites the rule that requires a query | Ignores or misreads the rule | Which rule did you apply, and where did you find it? |
| Query | Sends the buyer a clear question with numbers | Sends a vague question | What did you ask the buyer, and what would they need to answer? |
| Supplier message | Says what is being checked without promising a date | Promises payment | What did you tell the supplier, and why? |
| Prioritising | Notes the month-end cut-off and acts on it | Treats it like any other day | How did the deadline change what you did first? |
| Ownership | Leaves a clear note on what is held and who owns it | Leaves open items unnamed | What was still open when you finished, and who owns it? |
Questions that work without an exercise
- An invoice does not match its purchase order. What do you do first?
- Tell me about a time you found a payment error.
- How do you answer a supplier asking when they will be paid when you do not yet know?
- How do you prioritise before a month-end cut-off?
- When do you take an exception to a manager, and what do you include?
- How do you hand over invoices that are still on hold?
What does research say about selection methods?
Calavion makes no claim that its exercise has been validated. These independent sources explain how work samples and selection methods are usually judged.
U.S. Office of Personnel Management
OPM describes work sample tests as tests that require applicants to perform tasks that mirror the tasks employees perform on the job. It says they suit situations where applicants are expected to have the required skills when they start. Work samples and simulations (OPM).
Research on selection methods
A 2022 review in the Journal of Applied Psychology revisited how well common selection methods predict job performance and ranked structured interviews highest among the methods it reviewed. Sackett, Zhang, Berry and Lievens (2022).
Legal context in the United States
The Uniform Guidelines on Employee Selection Procedures set out how employers should show that a selection procedure is job-related, including technical standards for validity studies. Rules differ by country and state, so take legal advice for your location. 29 CFR Part 1607.
What do applicants experience, and what is recorded?
This describes how Calavion’s exercise environment works today for customer service. An accounts payable exercise would work the same way. Every applicant invited to the same approved exercise works the same approved version, with the same starting records and available actions. Applicants see a notice before they start. Calavion records what applicants do inside the environment: records opened, messages written and actions taken. It does not record the screen, webcam or keystrokes. Source files are never shown to applicants.
Accounts Payable Specialist assessment: common questions
Short answers to what companies ask most often about assessing accounts payable specialists.
Does Calavion offer an accounts payable exercise today?
No. No accounts payable exercise has been built or run yet. Calavion would build the first one with a company, from an invoice situation it has handled. The only exercise Calavion has run end to end is a customer service cancellation case.
What is an accounts payable specialist assessment?
An accounts payable specialist assessment checks whether an applicant can do accounts payable work before you hire them. Formats include accounting knowledge tests, spreadsheet tests, situational questions, invoice-matching exercises, writing samples and interviews. Calavion would use a real-work exercise built from an invoice situation your company has handled.
How do you assess an accounts payable specialist when hiring?
Use work that resembles the job. Give applicants an invoice situation with the records they would really read and a message to write, review what they did, then discuss it in the interview. A multiple-choice test shows knowledge or stated judgment, and an interview describes past or hypothetical behaviour. Neither shows the work itself.
What skills should an accounts payable specialist assessment cover?
It should cover the skills the job uses: matching records, applying the policy, accuracy with numbers, clear queries, supplier communication, prioritising near month-end, escalation judgment, and handover and notes.
What is an accounts payable job simulation?
An accounts payable job simulation is an exercise in which an applicant handles a realistic invoice situation instead of answering questions about one. Calavion’s version would be built from a case your own company handled, so the invoices, orders and policy are yours.
Is this an accounts payable skills test?
Not in the usual sense. A skills test checks accounting terms or spreadsheet skill against an answer key. A real-work exercise checks what an applicant does with an invoice, an order and a payment rule. You can use both. For the receivables side, see the accounts receivable assessment.
Does Calavion test accounting knowledge or software skills?
No. Calavion’s environment is built around written cases with records and message threads. It does not test accounting standards, run live accounting software or post real payments, so those need a separate method.
How is an accounts payable specialist assessment different from an interview?
An interview asks an AP specialist how they handle a mismatched invoice. An assessment shows what they do with one: which figures they compare, whether they approve, hold or query, and what they tell the supplier. It does not replace the interview. It gives you a specific invoice to ask about.
Does Calavion score accounts payable specialist applicants?
Calavion does not currently produce automatic scores, applicant rankings or hiring decisions. Employers inspect the work and make the decision. For accounts payable, Replay shows the figures the applicant quoted, the query they sent and the payment decision they made, and you decide whether the check was careful enough.
Do accounts payable assessments predict job performance?
No assessment guarantees performance, and Calavion does not claim to predict it. One invoice shows how an applicant checked that invoice. Month-end volume and consistency over time are things you judge through references and a probationary period, not something Calavion has measured.
Can applicant actions affect real payments, suppliers or accounting systems?
No. Nothing in the exercise pays a supplier, posts to a ledger or contacts a real buyer. The invoice, the order and the amounts are invented, and a company case would be built the same way.
What is Replay?
For accounts payable, Replay shows which invoice, order and policy records the applicant opened, the figures they quoted, the query to the buyer and the message to the supplier, whether a payment was approved, held or queried, and what was left open at cut-off. It is not a score.
Is a real-work accounts payable specialist assessment fair and legal?
That depends on where you hire and how you use it. For finance roles, keep the criteria tied to the work, such as accuracy and following the payment rule, give every applicant the same invoice case, and take legal advice for your location. Calavion makes no claim that its exercise removes bias or has been validated.
Can applicants use AI during an accounts payable specialist assessment?
That depends on your finance team. Some use AI to draft supplier emails or extract invoice data, and others forbid it for payment data. Decide before you invite applicants and tell them the rule before they start. Calavion’s direction is to allow AI where the role permits it, with the rule fixed and disclosed up front.
Is the exercise accessible?
Calavion has checked keyboard use and responsive layouts. Screen-reader testing and a formal accommodation process are not yet established, so do not assume full accessibility compliance. Plan adjustments for applicants who need them and tell applicants who to contact.
How long should an accounts payable specialist assessment be?
It should match how long matching and querying one real invoice takes in your team, not a round number. Calavion has no validated figure for how long applicants take and claims none.
What are the trade-offs of a real-work accounts payable specialist assessment?
Each case is prepared with you by hand, and you read each Replay yourself. That takes more effort than an automated accounting quiz, and it suits teams where one overpayment or a lost invoice is costly more than teams screening hundreds of clerks.
How do we start?
Bring one invoice situation your team has already handled. Calavion prepares the exercise with you, you approve it, and you invite applicants. Launch access is free for our first three companies.
