Administrative Assistant Assessment: A Real-Work Exercise for Hiring
See how administrative assistants handle competing priorities. Three requests arrive in the same hour, each from someone who thinks theirs comes first. This is a fictional illustration of the exercise Calavion would build with you.
Try CalavionWhat is an administrative assistant assessment?
An administrative assistant assessment is a way to check whether an applicant can do administrative work before you hire them. Common formats are typing and software tests, situational questions, inbox and prioritisation exercises, writing samples and interviews.
Calavion takes a practical approach. Working with a company, Calavion would turn an administrative situation your team has already handled, such as three competing requests arriving in the same hour, into a controlled exercise. The applicant would read the requests, the calendar and the office rules, then decide what to do first, whom to tell and what to leave for later. You would then review a Replay: a record of what was available, what they did and wrote, what changed and what stayed open.
You will also see the same idea called an administrative assistant skills test, an administrative assistant pre-employment assessment, an office assistant assessment, an administrative job simulation, a work sample assessment for administrative assistants or an administrative assistant case study. These terms are often used interchangeably, but they measure different things: some check knowledge, some check what applicants say they would do, and some let applicants do practical work.
What sets Calavion’s approach apart is the case. It would be your own handled administrative situation, you would approve the exact version, and you would read a Replay of what the applicant did and wrote.
Can you use Calavion for administrative assistant assessments today? At a glance
- Best suited to
- Administrative work done in writing: inbox requests, calendars, bookings, messages to colleagues and handovers.
- What applicants would do
- Read requests and a calendar, decide what comes first, write the replies and leave a clear note about what is still open.
- What employers would review
- A Replay of what was available, what the applicant did and wrote, what changed and what stayed open.
- What it does not do
- Connect to real email or calendar systems, test typing speed or software skills, assess phone or front-desk behaviour, score or rank applicants, or claim to predict job performance.
- Status
- Not built yet. No administrative exercise has been built or run. Calavion builds each case with the company.
What would a real-work administrative assistant assessment look like? Example: three requests in one hour
It is 9:40 AM. The office manager needs a room booked for a visitor at noon, a director has asked for a report to be formatted by eleven, and a supplier is waiting for a signed form. The applicant decides what to do first, whom to tell and what can wait.

The applicant would
- Read the three requests and the calendar before replying to anyone
- Decide which request has a hard deadline and which only sounds urgent
- Book the room and confirm it in a clear message
- Tell the director what will be ready by eleven and what will not
- Leave a note for the office manager about the form that is still open
Each choice leaves the office in a different state: a room double-booked, a report promised for a time it cannot meet, a form nobody remembers to chase. The employer would read the decisions, messages and action sequence in Replay.
This is an illustrative example. The company, the people and every record are invented.
Why should companies assess administrative assistants before hiring?
Administrative work is judged request by request: what an assistant does first, what they tell people and what they leave open. A resume lists tools and past titles, and an interview describes past behaviour. Neither directly shows how an applicant handles three competing requests and a calendar that cannot fit them all. An assessment gives the company something observable to review before making an offer.
How would Calavion assess administrative skills?
Calavion is a real-work hiring platform. For administrative, Calavion would prepare a controlled exercise from an administrative situation your team has handled. Applicants would read records and write messages inside it, and you would read a Replay of what they did. You make the hiring decision.
- Bring one case. Choose an administrative situation your team has already handled.
- Calavion prepares it with you, by hand. Calavion reviews the material and replaces identifying details.
- You approve the exact version before any applicant sees it.
- Applicants work the case. They use an invite link, with no account, and work through records and written threads.
- You read Replay and decide. Replay shows what was available, what the applicant did and wrote, what changed and what stayed open.
What types of administrative assistant assessment are there?
Employers combine several methods. This table shows what each one checks and where it stops.
| Type | What it checks | Strength | Limit |
|---|---|---|---|
| Knowledge test | Office software, document formats and business terms | Quick to give and compare | Shows knowledge, not behaviour |
| Situational judgment test | Chosen answers to administrative scenarios | Standard scenarios are easy to compare | Shows what applicants say they would do |
| Typing and software test | Speed and accuracy in common office software | Quick, objective and easy to compare | Shows tool skill, not judgment |
| Inbox or in-tray exercise | Sorting a set of requests by priority | Shows prioritising | Often generic, not your office or your rules |
| Writing sample | Drafting a reply or an email to a colleague | Shows clarity and tone | Does not show how the applicant read the situation |
| Role-play | A rater plays a colleague or visitor with a request | Shows composure and questioning | Hard to repeat the same way for every applicant |
| Work sample | A task taken from the job | Job relevance depends on how well the task represents the role | Takes time to design |
| Structured interview | The same questions for every applicant | Consistent and easy to run | Asks about past or hypothetical situations; does not show work being done |
| Calavion real-work exercise | Your own handled administrative situation in a controlled environment | Observable actions, messages and consequences | Not built yet for administrative; written cases only; no automatic scores |
For the full method comparison, read work samples, job simulations, take-homes and real-work hiring.
Which administrative assistant assessment should you use?
These are common pairings, not rules. Most teams use more than one method, and the right choice depends on the role.
| Hiring need | Commonly suitable method | What it can show | What it cannot establish |
|---|---|---|---|
| Prioritising competing requests | A job simulation built on a real inbox and calendar | Choosing what first and telling people clearly | Performance beyond the requests you chose |
| Written communication | A writing sample with the same facts for every applicant | Clarity, tone and accuracy | How the applicant decided what to write |
| Software and document skills | A timed task in a demo file | Tool skill and accuracy | Judgment about priorities |
| Front-desk and visitor handling | A role-play with a rater | Composure and courtesy in person | Written organisation |
| High-volume hiring | A short knowledge test as a first filter, then a practical exercise for a shortlist | Basic knowledge at scale | What the applicant does with a real administrative situation |
| Any administrative role | A structured interview with the same questions for every applicant | Experience and how applicants explain their decisions | Work being done now |
How is a real-work administrative assistant assessment different from a administrative assistant skills test?
A administrative assistant skills test, the kind sold in many assessment libraries, usually asks multiple-choice or scenario questions and scores them against an answer key. It is quick to give and easy to compare, and it shows what an applicant knows or says they would choose. A real-work administrative assistant assessment, also called a administrative assistant job simulation or work sample assessment, shows what the applicant does with a case from the job. Many teams use both: a short test early, and a practical exercise for the shortlist. Calavion offers only the second. See what a job simulation is and work sample or skills assessment test.
Which skills should an administrative assistant assessment cover?
A useful assessment looks at the skills the job actually uses. Each skill below shows what it looks like in real work and what an employer would see in a Replay. Replay does not rate any trait. It shows the wording and the sequence of actions, and the employer interprets them.
| Skill | What it looks like in real work | What the employer would see in Replay |
|---|---|---|
| Reading the requests | Checking the inbox and calendar before acting | The records opened, and what the applicant referred to in the replies |
| Prioritising | Judging which request has a real deadline | What the applicant did first, and what they left |
| Calendar and booking accuracy | Fitting meetings and rooms without clashes | The bookings made and any clash left in the calendar |
| Clear messages | Writing replies people can act on | The messages the applicant wrote, word for word |
| Managing expectations | Saying what will and will not be ready | Whether the promises matched what the applicant could deliver |
| Discretion | Handling a confidential detail with care | What the applicant included or left out of a message |
| Follow-through | Chasing a form or a reply that is still outstanding | Whether and when the applicant followed up |
| Handover and notes | Leaving a clear note on what is open | Outstanding responsibilities and the final state of the office |
Which administrative tasks can an assessment cover?
Administrative work happens by email, chat, calendar, documents and in person. Written tasks can be assessed from the text alone. Typing, software skill and front-desk behaviour need other methods.
| Task | How it is usually assessed | Calavion today |
|---|---|---|
| Typing and data entry | A timed task in a demo file | Not covered. Calavion does not run live software |
| Front-desk and visitor handling | Live role-play with a rater | Not covered. Calavion does not record voice or video |
| Inbox triage and replies | Work sample or simulation | Same written shape, but not built yet. Built with the company |
| Calendar and room booking | Work sample or simulation | Same written shape, but not built yet. Built with the company |
| Handover and follow-up notes | Writing sample | Same written shape, but not built yet. Built with the company |
How do you assess typing, software and front-desk skills?
Calavion does not cover these, so you would use another method. These are common ways to assess them alongside a written exercise.
| Skill area | What a good test contains | Common method |
|---|---|---|
| Typing and data entry | The same text or table for every applicant, with accuracy checked as well as speed | A timed typing or data-entry task |
| Spreadsheet and document skill | The same file and task for every applicant | A task in a demo file |
| Front-desk manner | A scripted visitor with a request the applicant must work out | Role-play with a rater and a short rating guide |
| Written replies | A short email to a colleague | A writing sample |
What a rater listens for in a visitor role-play
| What to listen for | Evidence that supports it | Evidence that raises a question |
|---|---|---|
| Welcome | Greets the visitor and asks how to help | Waits to be asked or looks away |
| Questions | Asks short questions to find out who the visitor needs | Guesses or assumes |
| Accuracy | Repeats back names, times and rooms | Leaves details unconfirmed |
| Composure | Stays calm when the person is late or annoyed | Becomes flustered or curt |
| Closing | Confirms what happens next and who will tell the visitor | Ends without a next step |
Which administrative roles can you assess this way?
Every role below needs its own case, which Calavion prepares with the company.
| Role | What the work involves | What to assess | Fit with Calavion |
|---|---|---|---|
| Administrative assistant | Supporting a team with requests, calendars and documents | Prioritising, accuracy and clear messages | Built with you |
| Office assistant | Keeping an office running day to day | Accuracy, courtesy and follow-through | Built with you |
| Administrative coordinator | Coordinating schedules, bookings and suppliers | Prioritising and handovers | Built with you |
| Office manager | Running office operations and suppliers | Prioritising and vendor messages | Built with you |
| Team assistant | Supporting one team with scheduling and reports | Calendar accuracy and discretion | Built with you |
| Back-office administrator | Processing forms and records for a team | Accuracy and follow-through | Built with you |
| Data entry clerk, mostly typing | Entering and checking records | Accuracy, which is mainly a typing task | Not covered: data entry is mostly a speed and accuracy task |
| Receptionist, mostly in person | Greeting visitors and answering calls | Welcome and composure in person | Not covered: reception needs in-person and phone methods |
If you hire for one of these roles, bring one case your team has handled and we will tell you whether it fits. See where Calavion applies and the design partner programme.
When should you use a real-work administrative assistant assessment?
A work-based method lets you review the actions and messages an applicant produces inside a controlled exercise, and it asks more of you than an automated test. Here is what to expect before you start.
Best fit
- Offices where assistants handle requests by email, chat and calendar for several people
- Roles where prioritising, discretion and clear messages matter together
- Hires where a missed booking or a forgotten form is costly, so reviewing real work may be worth the time
What it asks of you
- Setup is a hands-on service: Calavion prepares each exercise with you, by hand. It is not self-serve software
- You review the Replay yourself, because Calavion does not score or rank applicants
- It is not an automated screening tool for very large applicant pools, and it does not test typing speed, software skills or front-desk manner
How do you run an administrative assistant assessment?
Step by step
Start from the real job
List the three or four situations that most often go wrong in the role.
Choose one real case
Pick an administrative situation your team has handled, with an inbox, a calendar and a few requests to read, a constraint that limits what can be promised, and a consequence that follows.
Decide in advance what you will look for
For example reading the requests, prioritising, wording to colleagues, and follow-through.
Give every applicant the same case
Use the same instructions for every applicant.
Keep it job-related
Tell applicants what is recorded and who sees it.
Review the work itself
Look at the work, not only the final answer.
Use what you saw to shape the interview
Ask about what the applicant actually did.
Keep your own notes
Apply your local hiring rules, taking legal advice where needed.
What should you look for in an applicant’s work?
These are observations to discuss, not scores. Calavion does not currently score or rate applicants, and the employer decides.
Signs to ask about
- Answers the loudest request first
- Promises a time the work cannot meet
- Books the room without checking the calendar
- Mentions a confidential detail to the wrong person
- Leaves no note about the form still open
Signs of careful work
- Reads all the requests and the calendar before replying
- Separates real deadlines from urgent-sounding ones
- Confirms the booking clearly
- Tells the director what will and will not be ready
- Keeps private details out of messages that do not need them
- Hands over open work clearly
Administrative Assistant interview questions and a note-taking guide
Use this guide to take your own notes against criteria you set in advance. It is a note-taking guide, not a score, and Calavion does not rate applicants. The table works from an exercise. The questions below it work without one.
| What to look at | Evidence that supports it | Evidence that raises a question | A question to ask |
|---|---|---|---|
| Reading the requests | Refers to all three requests in the replies | Replies to one and forgets the others | What did you read before you replied to anyone? |
| Prioritising | Handles the hard deadline first and says why | Handles the loudest request first | How did you decide what came first? |
| Booking accuracy | Checks the calendar and confirms the room | Books without checking | What did you check before you booked the room? |
| Expectations | Says what will be ready and what will not | Promises everything | What did you tell the director, and why? |
| Discretion | Keeps private details to the people who need them | Shares detail without a reason | What did you leave out of that message? |
| Ownership | Leaves a clear note on the open form | Leaves open items unnamed | What was still open when you finished, and who owns it? |
Questions that work without an exercise
- Three people each say their request is urgent. What do you do first?
- Tell me about a time you could not fit everything into the day.
- How do you decide what to tell a manager and what to handle yourself?
- How do you handle a request that involves confidential information?
- How do you keep a calendar accurate when plans keep changing?
- How do you hand over work that is still open?
What does research say about selection methods?
Calavion makes no claim that its exercise has been validated. These independent sources explain how work samples and selection methods are usually judged.
U.S. Office of Personnel Management
OPM describes work sample tests as tests that require applicants to perform tasks that mirror the tasks employees perform on the job. It says they suit situations where applicants are expected to have the required skills when they start. Work samples and simulations (OPM).
Research on selection methods
A 2022 review in the Journal of Applied Psychology revisited how well common selection methods predict job performance and ranked structured interviews highest among the methods it reviewed. Sackett, Zhang, Berry and Lievens (2022).
Legal context in the United States
The Uniform Guidelines on Employee Selection Procedures set out how employers should show that a selection procedure is job-related, including technical standards for validity studies. Rules differ by country and state, so take legal advice for your location. 29 CFR Part 1607.
What do applicants experience, and what is recorded?
This describes how Calavion’s exercise environment works today for customer service. An administrative exercise would work the same way. Every applicant invited to the same approved exercise works the same approved version, with the same starting records and available actions. Applicants see a notice before they start. Calavion records what applicants do inside the environment: records opened, messages written and actions taken. It does not record the screen, webcam or keystrokes. Source files are never shown to applicants.
Administrative Assistant assessment: common questions
Short answers to what companies ask most often about assessing administrative assistants.
Does Calavion offer an administrative exercise today?
No. No administrative exercise has been built or run yet. Calavion would build the first one with a company, from an administrative situation it has handled. The only exercise Calavion has run end to end is a customer service cancellation case.
What is an administrative assistant assessment?
An administrative assistant assessment checks whether an applicant can do administrative work before you hire them. Formats include typing and software tests, situational questions, inbox and prioritisation exercises, writing samples and interviews. Calavion would use a real-work exercise built from an administrative situation your company has handled.
How do you assess an administrative assistant when hiring?
Use work that resembles the job. Give applicants an administrative situation with the records they would really read and a message to write, review what they did, then discuss it in the interview. A multiple-choice test shows knowledge or stated judgment, and an interview describes past or hypothetical behaviour. Neither shows the work itself.
What skills should an administrative assistant assessment cover?
It should cover the skills the job uses: reading requests, prioritising, calendar and booking accuracy, clear messages, managing expectations, discretion, follow-through, and handover and notes.
What is an administrative assistant job simulation?
An administrative assistant job simulation is an exercise in which an applicant handles a realistic set of office requests instead of answering questions about them. Calavion’s version would be built from a case your own company handled, so the inbox, calendar and rules are yours.
Is this an administrative assistant skills test?
Not in the usual sense. A skills test checks typing, software or grammar against an answer key. A real-work exercise checks what an applicant does with a set of requests and a calendar. You can use both: see the executive assistant assessment for work with more discretion.
Can Calavion test typing speed or software skills?
Not today. Calavion’s environment is built around written cases with records and message threads. It does not run live software or time typing, so those need a separate task in a demo file.
How is an administrative assistant assessment different from an interview?
An interview asks an administrative assistant how they juggle requests. An assessment shows it: three requests arrive in one hour, and you can see which they answered first, what they promised and what they left open. It does not replace the interview. It gives you a real inbox moment to ask about.
Does Calavion score administrative assistant applicants?
Calavion does not currently produce automatic scores, applicant rankings or hiring decisions. Employers inspect the work and make the decision. For an administrative assistant, Replay shows the order of replies, the bookings made and the note left behind, and you decide whether that order reflects good judgment.
Do administrative assessments predict job performance?
No assessment guarantees performance, and Calavion does not claim to predict it. A set of office requests shows how an applicant handled that hour. How they handle a year of changing priorities is something you judge with the interview and references.
Can applicant actions affect real colleagues, visitors or systems?
No. Nothing in the exercise books a real room, sends a real email or touches a real calendar. The people, the calendar and the requests are invented, and a company case would be built the same way.
What is Replay?
For an administrative assistant, Replay shows which requests and calendar entries the applicant opened, the replies and bookings they made in order, whether a clash was left in the calendar, and what they noted as still open. It is not a score.
Is a real-work administrative assistant assessment fair and legal?
That depends on where you hire and how you use it. For office roles, keep criteria tied to the work, such as accuracy of bookings and care with confidential details, give every applicant the same requests, and take legal advice for your location. Calavion makes no claim that its exercise removes bias or has been validated.
Can applicants use AI during an administrative assistant assessment?
Offices differ: some expect assistants to draft with AI tools, others forbid it near confidential material. Decide before you invite applicants and tell them the rule before they start. Calavion’s direction is to allow AI where the role permits it, with the rule fixed and disclosed up front.
Is the exercise accessible?
Calavion has checked keyboard use and responsive layouts. Screen-reader testing and a formal accommodation process are not yet established, so do not assume full accessibility compliance. Plan adjustments for applicants who need them and tell applicants who to contact.
How long should an administrative assistant assessment be?
It should resemble a busy hour in your office, not a fixed number of minutes. Calavion has no validated figure for how long applicants take and claims none, so set a limit that matches the case you choose.
What are the trade-offs of a real-work administrative assistant assessment?
Each exercise is built with you from a real inbox and calendar, and you read each Replay yourself. That is more work than a typing test, and it suits teams where a missed booking or a leaked detail costs more than a slower hiring step.
How do we start?
Bring one administrative situation your team has already handled. Calavion prepares the exercise with you, you approve it, and you invite applicants. Launch access is free for our first three companies. After that, Starter is $49 a month and Business is $149 a month, and Enterprise is quoted. See pricing, become a design partner or request a demo.
What has Calavion run so far?
Calavion has run one exercise end to end: a customer service cancellation case, tested on the live system using fictional company data. An administrative exercise would be built with you, from an administrative situation your team has handled.
